We are looking for a highly organised and proactive assistant to support a range of cultural and arts-related projects. This is a great opportunity for someone interested in international cultural exchange, event coordination, and arts administration.
Key Responsibilities:
- Prepare documents such as programs, surveys, and other event materials
- Manage guest lists and coordinate attendee information prior to events (including communication with VIPs)
- Provide on-site support during events (distributing materials, assisting guests, general operations)
- Assist with marketing and public relations, including designing digital flyers
- Aggregate and analyze post-event survey results
- Handle general administrative tasks such as mailing materials
- Support coordination with external stakeholders (e.g., co-organizers, sponsors)
Required Skills & Qualifications:
- Proficiency in Microsoft Office applications (Excel, Word, PowerPoint)
- Strong attention to detail and accuracy
- Excellent interpersonal and communication skills, both within a team and with external partners
- Genuine interest in Japanese culture and the arts
- Native-level English (must be able to write professionally without the need for proofreading)
- Business-level Japanese (spoken and written)
- Solid understanding of social media platforms and their use for promotion
- Experience with image editing software such as Photoshop, or similar tools (e.g., Canva, Illustrator)
