JAPANESE SPEAKING CONTRACTS ADMININSTRATOR

London | £25-28K/year | Ref. VAC-13400

Japanese speaking Contracs Administrator is urgently required for a London based Japanese leading steel trading company.

Hours of Work: Monday to Friday 9:00am to 5:00pm with occasional requirement to
to participate in conference calls/meetings held in different time zones.

REPORTING TO: Trader & COO

Duties

  • Processing all invoices using SAP
  • General Administrative Support (e.g. despatching documents, recording and updating excel spreadsheets as requested, archiving, photocopying, scanning documents and managing credit applications and contracts)
  • Liaising with other offices, customers and suppliers ensuring a smooth execution from time to time
  • Arranging shipments and preparing necessary documentation
  • Reviewing contract documentation before escalation
  • Maintaining internal client database of orders and payments
  • Updating Credit Line Schedule and Contract Book
  • Updating Order Status with most recent updates
  • Payment reminders
  • Dealing with telephone and email enquiries when needed
  • Negotiating with shipping companies to best optimise cargo the company handle
  • Assisting in collecting inquiries and making offers as required
  • Assist with meetings and customer/supplier calls and visits including preparation of presentations as required
  • Support business development activities under the direction of the Trader

Requirements

  • Written and verbal communication skills with fluency in English
  • Understanding of titanium and high performance materials
  • Experience of customer/supplier relationship management/development
  • Experience of working in an international trading company and/or similar business environment
  • Demonstrable experience of working under pressure
  • Proactive approach to all work and problem solving attitude
  • Attention to detail and high levels of accuracy
  • Excellent organisation and time management skills to work towards deadlines
  • Experience in order follow up and execution
  • Ability to manage multiple tasks whilst being mindful of different time zones and their impact on operations
  • Intermediate level of Microsoft Office applications
  • Flexibility to undertake overseas travel as and when required
  • Working knowledge of SAP
  • Ability to prioritise workload and also to work on own initiative
  • Ability to work calmly and methodically under pressure
  • Knowledge and understanding of Japanese business cultures
  • Understanding of aerospace/defence markets will be advantageous
  • Ability to speak, read and write Spanish will be advantageous
